AI Privacy Policy

At the North East Mayoral Strategic Authority (North East MSA) , we want to be clear and honest about how we use Artificial Intelligence (AI). This page will explain how we use AI. We care about your privacy and want to make sure our AI use is fair and open. If you have any questions, please contact us.

Our AI Rule

We have a governing have a rule about using AI:

“AI technology may be used to replace task-based processes and for process automation; however, it should never fully replace a knowledge process. For knowledge processes, AI technology must only augment the decision-making process, empowering enhanced informed data-centric decisions".

In summary AI can help with automate processes, but it will not fully replace tasks that need human knowledge. AI should only help people make better decisions.

In our context, AI can streamline task-based operational processes, for example, automating things like logging an enquiry or updating a CRM record.

However, AI should not replace professional judgement in complex knowledge-based processes such as assessing, prioritising a project, or determining data governance implications. In these areas, AI should augment decision‑making—providing insights, summaries, or analysis that help our specialists and service leads make informed, accountable decisions.

Using AI in Business

We want to be clear and open about how we use Artificial Intelligence (AI). Sometimes AI tools may help our staff with tasks such as drafting information, analysing data or improving how we deliver services. When this happens, our employees remain fully responsible for the final decisions and the quality of the work.

We use AI in a careful and controlled way. AI will not be used to make decisions about individuals without human oversight. To make sure our use of AI is safe, responsible and in line with our values, all AI tools must meet the standards set by our Information Governance & Security Board (IGSB).

The IGSB reviews and approves AI tools before they are introduced, checks that risks are managed, and ensures we continue to meet our legal and ethical responsibilities.

Our aim is to use AI in ways that improve services, support our staff, and maintain your trust.

Using AI for Personal Work Tasks

Our staff may use AI tools to support their own day‑to‑day work, such as drafting documents, carrying out research, or improving accessibility. This helps our teams work more efficiently and does not affect the services you receive or the decisions we make about you.
